# How can a small business actually use AI?

**Summary:** Small businesses get the most from AI on narrow, repetitive tasks: answering routine customer questions from their own information, drafting replies, quotes and product descriptions for a person to check, extracting data from invoices and delivery notes, summarising long email threads, translating, and searching their own manuals and price lists. The safest approach is to start with one task that takes time every week, keep a person approving anything a customer sees, and measure whether it actually saves time.

## Where AI reliably helps

- **Customer questions.** Opening hours, prices, availability, delivery areas,
allergens. An assistant answering from your own information, in the customer's
language, and handing over to a person when unsure.
- **Drafting.** Email replies, quotes from a short brief, product descriptions,
review responses, social posts. A first draft in seconds that a person checks
  and sends.
- **Paperwork.** Reading invoices, delivery notes and order forms into your
  systems instead of typing them.
- **Search.** Asking a question of your own manuals, supplier catalogues and
past quotes, and getting the answer with the source.
- **Summaries and translation.** Long threads reduced to what needs deciding,
and customer messages understood in any language.

## Where it is the wrong tool

When a rule would do. Calculating a price from measurements, sending a reminder
the day before an appointment, or moving data between two systems is ordinary
automation: cheaper, faster and predictable. AI earns its place when the input
is messy language or documents.

## Keeping it safe

- **A person approves** anything that goes to a customer until you trust it.
- **Test it on real examples** before launch and keep checking.
- **Choose providers carefully**: EU processing and a data processing agreement
where possible, and no personal data in prompts that do not need it.
- **Tell customers** when they are talking to an assistant, and update the
  privacy policy.

## What it costs

The monthly cost of the AI service itself is usually small for a small business,
and grows with volume. The real cost is setting it up properly: connecting it to
your information, testing it, and putting the guardrails in place.
