# When should a small business replace spreadsheets with proper software?

**Summary:** A small business should replace a spreadsheet with proper software when several people edit the same file, when the same data is typed into two or more places, when errors are found by customers rather than staff, when the file only works because one person understands it, or when answering a basic question such as how many quotes became orders takes hours. At that point the spreadsheet is a business system without validation, permissions, history or automation, and a dedicated tool usually pays for itself.

## The warning signs

- **Several people edit the same file**, and someone has overwritten someone
  else's changes at least once.
- **Data is typed twice**: from an email into the spreadsheet, from the
  spreadsheet into the invoice.
- **Customers find the mistakes**: a double booking, a missed order, a quote
  that was never sent.
- **One person understands it.** When they are on holiday, the business slows
  down.
- **Simple questions are hard.** How many enquiries did the website bring last
month? Which quotes are still open? What is selling? If answering takes an
afternoon, the data is in the wrong shape.

## What replaces it

Not always custom software. The options, roughly in order of cost:

1. **A better spreadsheet** with validation, protected ranges and one owner, if
   the problem is mostly discipline.
2. **An off-the-shelf tool**, such as a booking system, CRM or stock app, if one
   fits how you work.
3. **Automations** connecting the tools you already have, so data moves without
   anyone retyping it.
4. **A small custom tool** when the process is what makes your business
different, or when three products would otherwise need gluing together.

## How to switch without chaos

Start with the most painful process, not all of them. Build a first version, use
it on real work alongside the old spreadsheet for a short period, import the
historical data, and retire the spreadsheet only once the new tool has proved
itself. The spreadsheet is not wasted effort: it is the best specification you
will ever get, written by the people who do the work.
